Quarter Auction Fundraiser

I recently participated in another very fun quarter auction fundraiser that I wanted to share with you.  It is a great way to raise money for your group or organization.  This particular event was for women only.  A great, fun night for women to gather together and raise money for the community.

Quarter Auction FundraiserPerhaps you have heard of this type of fundraiser before or participated in it.  You may find a few things different from one that you attended.

How it works:

  • A number of table sponsors made up of vendors or organizations host a table and invite 12 guests to sit at their table.
  • Tables are decorated by the tables sponsor however they would like to decorate it.  I decorated mine with a winter theme and Avon products since I am an Ind. Avon representative.  More on this later.
  • Each table sponsor donates 3 items.
    • Item valued at $25 – $50 (these items are auctioned for 2 quarters)
    • Item valued at $51 – $75 (these items are auctioned for 3 quarters)
    • Item valued at $76  – $100 or more!! (these items are auctioned for 4 quarters)

Of course if you are hosting an event you can change the value of the items to be donated.

The event I participated in gave each sponsor up to $125 towards their cost of the items.

These are two of the three items I put up for auction.  The one on the left is valued @ $45 and the one on the left is valued at over $100.  I had fun putting them together.

  • Next you need paddles for each guest. Quarter auction paddles cost $5 each or a guest can purchase a $45 paddle that will put their number in for all items being auctioned. Those are the  ones with the leaves on them.  Guests can purchase more than one paddle and of course the hosts can purchase paddles as well.

  • Now the auction begins.  The event coordinators bring up an item and share it with the guests.  They give them a brief description of each item which was given to them prior by the host sponsor.  The event coordinator tells everyone the value of the auction item by saying it is a 2 quarter bid, 3 quarter bid or 4 quarter bid.
  • Guests who purchased $5 paddles put their quarters in a basket that the sponsor passes around the table.
    • Example:  An item is valued at $50 and is a 2 quarter bid.  If a guest only purchased one paddle; they only put in 2 quarters.  If the guest purchased 2 paddles and wants to bid with both; they put in 4 quarters.  If a guest purchased a $45 paddle; they do not need to put in any quarters because their paddle goes in for every item.  Make sense??
  • Prior to the event the event coordinator put numbers of all paddles onto poker chips and placed them in a bag that can be shaken.
  • The event coordinator pulls out a number.  They say the number and whoever is holding that paddle in the air yells that they won and is given the prize.
  • However, if a number is called and the paddle was not in the air; which means that person did not bid, another number is pulled until a winner is chosen.  If the paddle bearer did not bid they yell – NO BID so that the event coordinator knows to pull another number.
  • Once all items are auctioned off the event is over.
  • This event had a break in between with concessions to raise more money.

Being a table sponsor

As a table sponsor you have a great opportunity to not only have fun with a group of friends or customers; you also have an opportunity to share with everyone at the event.

Each of my guests was given an Avon bag with catalogs, free samples, a $5 gift certificate and candies.  I also included  a thank-you note with how to order, hosting a party, my social media pages and how Avon puts out a catalog every 2 weeks.

Many of the table sponsors; including myself, had a door prize that was given at the end of the event.

During the break all of the guests had an opportunity to visit each table, check out what was there and fill out a door prize form if the table had one.  I had a survey form and had 60 women visit my table and fill out a form.  Most only put their name and phone number, but some put that they wanted a skincare consultation or wanted to receive my newsletter.

Also, as a table sponsor each of us had an opportunity to speak to the guests.  We each stood together in front of everyone, passed a microphone and shared with all of the guests who we were and a brief description of what we do.

What a great opportunity to share my Avon business!!  It was a great event.  My guests kept telling me how much fun they had and I had a blast.  Can’t wait to do it again next year.
